For the Grid Department at our headquarters in Brussels (near the train station and subway, see the map here) we’re looking for a File Administrator Third Party Works and Relations (m/f/x).
 

The Grid Department’s Third Party Works Unit is responsible for dealing with third parties who wish to carry out work near Fluxys facilities. It also liaises with city, town and municipal councils as part of Fluxys' prevention policy.

Job
respon­sibilities

  • As a member of the Infoworks team, you will assess and process documents, including writing to contractors, consulting engineers, architects and administrations in connection with their projects near Fluxys facilities or the associated permit applications
  • You will also talk to these parties over the phone. You will inform third parties about their legal and technical obligations and about the location of our pipelines
  • In addition, you will participate in the administrative follow-up of ongoing projects carried out near our facilities and write to parties required to carry out corrective measures (in case of unreported work, infringements, non-compliance with safety measures, etc.)
  • You will work closely with the regional operational teams and staff and provide them with administrative support for awareness sessions with external parties (visits to municipal councils, repeat offenders, etc.)
  • You will manage and update the documentation (brochures, stickers, website, etc.) and rules applying to third-party work
  • You will coordinate the services of contractors involved in the inspection and maintenance of our network (e.g. scheduling, orders, invoices, monitoring of results/reports)
  • You will prepare KPIs and reporting on the management of third-party work and network inspections

About
you

For this role, you have:

  • A bachelor’s degree in an administrative or other field
  • Prior experience in an administrative/coordination role and in the management of external contacts
  • A meticulous and critical thinking approach
  • A cross-cutting and customer-oriented way of working
  • The ability to deal efficiently with multiple projects at once and a results-driven attitude
  • A strong team spirit while still being able to work independently
  • A fluency in Dutch and French, both spoken and written
  • A proficient knowledge of MS Office applications (in particular Word and Excel) and the willingness to get to grips with new job-specific software
